Rate of Pay: $32.82hour + DOE

Summary
This position plays a vital role in supporting the Human Resources (HR) and Education departments by enhancing operational efficiency and serves as the Administrative Assistant to Human Resources Leadership. The role serves as a key point of contact for both HR and Education inquiries, thereby contributing to the overall effectiveness of the HR team.

Essential Duties and Responsibilities

  • Serves as the first point of contact for all employees, visitors, and callers, assisting and directing them appropriately.
  • Serves as administrative assistant for Human Resources Leadership.
  • Provides administrative support services to Human Resources and education staff, including, but not limited to, scheduling meetings, preparing First-Day Orientation packets, Values Orientation packets, and Benefit packets.
  • Develops and maintains Human Resources forms and documents.
  • Completes verifications of employment.
  • Prepares ID badges for new hires, lost cards, vendors, volunteers and contractors.
  • Serves as the primary Human Resources contact for the DSX door security system.
  • Inputs new badges into door access software and serves as point of contact for door access requests.
  • Deactivates door access for terminated employees, contractors and volunteers as needed.
  • Runs door access reports as requested
  • Has working knowledge of administrative/operational policies and procedures along with Human Resources practices in order to answer inquiries and/or direct to appropriate staff.
  • Coordinates, organizes, and maintains conference room schedules and calendars for the health system.
  • Performs clerical office duties including, but not limited to:
  • Submitting invoices and check requests in the accounting software including tracking credit card expenses.
  • Updates sick call worksheet.
  • Maintains personnel records or other employee information accurately, completes and fulfills legal requirements, assuring that all filing is completed on a timely basis.
  • Scans appropriate documentation into electronic personnel files.
  • Enters and retrieves data from Human Resource Information System (HRIS) system.
  • Examines employee files to answer inquiries and provides information to authorized persons.
  • Organizes and administers HR recognition programs such as distribution of birthday cards, birth of a child gift, health system anniversary dates, etc.
  • Reads/routes/delivers in-coming mail.
  • Makes copies of correspondence/other printed matter.
  • Maintains and orders department supplies and processes special orders.
  • Maintains department staff meeting minutes and agenda.
  • Maintains and troubleshoots department office equipment – copiers and Laser Jet printers.
  • Demonstrates System Values in performance and behavior.
  • Complies with System policies and procedures.
  • Other duties as may be assigned.

Minimum Education/Experience
Associate's Degree or equivalent from two-year college or technical school; or 6 months to 1 year relevant experience

Required Licenses/Certifications
Valid Driver's License in good standing

Required:
  • Must be flexible to meet changing work demands (i.e. working extra hours to complete work and be available for evening meetings).
  • Strong customer service skills.
Preferred:
  • Two to three years Human Resources experience in a healthcare setting
