1. Provides general project administration at Project Manager/Superintendent's direction to keep project well organized.
2. Manages and tracks the original and successive sets of project plans, drawings and sketches that are issued by architects, designers, engineers and other project team members
3. Assists with updates for all project schedules and helps disseminate to project team members
4. Assists Project Manager/Superintendent with the planning, scheduling, bid solicitation and review of subcontractor and supplier RFPs and buy outs.
5. Assist with closeout at the end of the project.
Objectives and Results:
1. Provides general project administration at Project Manager/Superintendent's direction to keep project well organized.
· Assemble and help maintain physical job binders and electronic folders.
· Create and maintain Project Directory.
· Attend weekly internal team meetings and update and maintain the “Action Items” list.
· Assist with meeting notes as directed by Project Manager.
· Obtain permit documents and permits and file all permit and inspection reports.
· Assist in preparing the excel spreadsheet for Client Requests for Change (RFCs).
· Quantity take-offs as directed; e.g., windows and doors, cabinetry and counters, plumbing fixtures.
· Update and maintain Submittal and RFI logs and follow up with designers, architects and engineers to ensure timely completion as directed by Project Manager/Superintendent.
· Various tasks as needed by Project Manager/Superintendent for the smooth running of the project.
2. Manages and tracks the ongoing sets of project plans, drawings and sketches that are issued by architects, designers, engineers and other project team members.
· Send plans out for copies as required. Typically 3 sets/copies: (1) PM copy, (1) Superintendent copy, (1) Office copy. PDF copy of plans is required and filed in appropriate job folder on the server.
· Check in plans and maintain plan log.
· Maintain and keep plan storage organized.
· Get additional plans and photo copy plans as needed. Send updated plan sheets to subcontractors as needed. Request any cost implications.
· Notify Contract Administrator when revised plans/sheets are received so Contract Administrator can updated the Subcontract Template.
· Pick up and deliver Samples & Cut sheets as directed by Project Manager/Superintendent.
3. Assists with updates for all project schedules at Project Manager/Superintendent's direction and helps disseminate to project team members.
· Update and post MS Project Schedules.
· Update and post Lead Time Schedules.
· Update and post Design Decision List.
· Update and post Materials Log.
· Maintain and update the physical job summary boards in the office.
4. Assists Project Manager/Superintendent with the planning, scheduling, bid solicitation and review of subcontractor and supplier RFPs and buy outs.
· Schedule subcontractor walk throughs at job site.
· Create and deliver requests for sub bids as directed by the Project Manager/Superintendent.
· Distribute contract documents to Subcontractors including: drawings, specifications, and general conditions. Include any accepted alternates or addendums with documents.
· Follow up with subcontractors to get the sub bids in; track, file and log all subcontractor quotes; assist with creation of Sub Comparison Spreadsheet.
· Document quality and progress of each subcontractor and suppliers. Update subcontractors and suppliers of any changes to the plans, specifications and/or schedule.
· Prepare, issue and manage Subcontracts/POs and change orders.
· Request and manage subcontractor insurance information per project.
5. Assist with closeout at the end of the project.
· Assemble all required project closeout documents per contract for client.
· Assist Superintendent in compiling warranty packages.
· Assist Superintendent in obtaining final letters from architect, engineers and other special inspectors for final permit sign off.
· Provide and receive End of Job questionnaires to Client/Architect.
· Assist with close out gift, e.g., flowers/wine for client.
· Archive completed job documents for storage.
Any work experience or exposure or classes related to the following is a plus: Construction, project management, architecture, craft or related trade work, etc.
Familiar of some type of customer and/or accounting database. MS Project, etc.
Must have excellent, natural organizational skills.
Excellent/advanced Excel skills.
Strong skills with Microsoft Word, and all parts of Outlook.
Excellent command of the English language.
Team player; works well with others.
EDUCATION/CREDENTIALS
Bachelor's degree preferred. Construction related major is a plus.
