Appeals Specialist (Remote – California-Based Law Firm)

Location: Fully Remote (Candidates must reside in CA, WA, OR, NY, TX, LA, AL, NC, SC, AZ, NV, GA, MI, IL, VA or PA)

About the Role

We are seeking a detail-oriented and proactive Appeals Specialist to join a dynamic legal team at a reputable California-based law firm. This fully remote position is ideal for candidates with a strong background in legal billing and appeals, particularly within a law firm environment. The Appeals Specialist will play a critical role in ensuring accurate and timely resolution of denied legal transactions by clients and third-party billing companies.

Key Responsibilities

• Monitor and Review Denials: Track all legal transactions denied by clients or third-party billing companies.
• Appeals Management: Prepare and submit appeals with corrected verbiage and supporting documentation.
• Attorney Coordination: Notify attorneys of fee denials and ensure they are aware of appeal deadlines.
• Deadline Tracking: Maintain a calendar of appeal deadlines and follow up to ensure timely submissions.
• Status Monitoring: Continuously monitor the status of submitted appeals and escalate issues as needed.
• Cost-Related Appeals: Collaborate with Accounts Receivable (AR) and attorneys to resolve cost-related denials and resubmit with appropriate corrections or backup.
• Documentation: Maintain accurate records of all appeal activities and communications.

Required Qualifications

• Experience: Minimum 2 years of experience in a law firm setting, specifically handling billing and appeals.
• Knowledge: Strong understanding of legal billing practices, client billing portals, and third-party billing systems.
• Technical Skills: Proficiency in legal billing software (e.g., Elite, Aderant, or similar) and Microsoft Office Suite.
• Communication: Excellent written and verbal communication skills for interacting with attorneys, clients, and billing entities.
• Organization: Exceptional attention to detail and ability to manage multiple deadlines simultaneously.

Preferred Qualifications

• Familiarity with California legal billing standards and client-specific billing guidelines.
• Experience working with AR teams and legal operations departments.
• Prior remote work experience with strong self-management skills.
