Vice President of Records Operations

Location: Woodland Hills, CA

Schedule: Monday–Friday, Standard Business Hours

Are you a strategic operations leader with a strong background in records retrieval, and compliance,. A well-established company in the legal services industry is seeking a Vice President of Records Retrieval to lead its records division. This senior leadership role is responsible for overseeing day-to-day operations, managing large regional teams, ensuring regulatory compliance, and driving continuous improvement through KPIs and innovation.

Key Responsibilities:

Operational Leadership:

• Oversee records retrieval operations to ensure timely, compliant, and accurate delivery of records.
• Lead multi-regional, high-volume teams and establish clear service benchmarks.
• Develop and enforce SOPs aligned with HIPAA, state, and federal regulations.
• Monitor client satisfaction to ensure SLA performance and turnaround targets are achieved.
• Resolve escalated client issues to maintain service excellence and retention.
• Own division-level P&L responsibilities, including budgeting and forecasting.

Strategic Performance:

• Track and leverage KPIs to identify gaps, trends, and performance opportunities.
• Collaborate cross-functionally with Sales, Legal, IT, and Support teams to streamline operations.
• Evaluate and manage vendor performance for compliance, speed, and quality.
• Drive strategic initiatives, including automation, system enhancements, and workflow improvements.

Team & Culture Development

• Recruit, train, and mentor operational leaders and staff.
• Promote a culture of accountability, accuracy, and responsiveness.
• Allocate resources effectively based on workload and demand.
• Contribute to client acquisition and retention through operational support and insights.

Qualifications

• Proven executive leadership experience in records retrieval, legal services, healthcare operations, or a related field.
• In-depth knowledge of HIPAA and regulatory compliance.
• Demonstrated success managing large teams and operational budgets.
• Strong record of performance improvement through data and KPIs.
• Bachelor's degree in Business, Legal Studies, Healthcare Administration, or related discipline preferred.
