Regional Program Finance Manager (RPFM)

PRA is a market-leading business event management firm, delivering unique experiences that move hearts, minds, and businesses forward. We collaborate with clients to craft creative, multi-sensory attendee journeys.

The RPFM reports to the Director of Program Finance and supports regional offices by managing event document administration, client invoicing, program closeouts, supplier onboarding, and cash collections. The role involves working closely with sales, creative, event operations, finance, vendors, and clients.

This is a hybrid position; applicants must be based in Southern California.

Primary Responsibilities:

Client Invoicing

  • Invoice clients promptly for deposits, in line with contractual terms.
  • Monitor payments and follow up to ensure timely collections.
  • Process refunds with complete documentation.
  • Review weekly A/R reports and follow up on outstanding balances.

Coordinate with Event Producers and Finance to complete program close-outs within 15 days, including:

  • Ensuring invoicing accuracy and quality.
  • Reconciling revenue and cost details, including GL accounts.
  • Calculating commissions and rebates.
  • Verifying sales tax charges.
  • Preparing financial packages for accounting.
  • Managing updates and adjustments with clients and teams.

Supplier Onboarding and Maintenance

  • Maintain regional supplier records and payment terms.
  • Keep vendor documentation current.
  • Manage refunds and commissions.
  • Assist with ad hoc financial reporting and regional documentation.

Qualifications:

  • Preferred experience in destination management, events, or hospitality.
  • Bachelor's or Associate Degree in related fields is a plus.
  • Proficiency in MS Office; Salesforce or NetSuite experience beneficial.
  • Basic accounting and business principles knowledge.
  • Ability to work independently and in teams.
  • Strong analytical and communication skills.
  • Detail-oriented with a proactive approach to process improvement.
  • Physical ability to lift supplies up to 20 pounds.

Salary range: $70,000–$80,000 plus incentives. Benefits include health insurance, 401(k), paid time off, parental leave, stipends, and more.
